Business Challenge

ManMachines provides IT solutions and onsite tech support in the D.C. metro area serving mostly Hotels and other lodging businesses.

The challenge for ManMachines was to find a replacement for their obsolete Microsoft Access based CRM application and move their current data to the new platform.

Some of the key objectives were:

  • Find a robust CRM solution with cutting edge features like one-click voip dialing via the application and & outlook synchronization functions
  • Import their multiple databases to the new platform and integrate it with their other in-house enterprise applications via xml.
  • Mobile access for their field technicians via Blackberry or internet enabled Pocket PC.
  • Automated remote backup of the data with real-time monitoring
  • The CRM system also needed to be integrated within their existing Exchange server to effectively manage contacts and corporate email.

Roadblocks

  • They needed the solution delivered in a very short time frame.
  • Their budget was limited.
  • Most of their applications were outdated and not designed to be scalable.

Solution:

ManMachines tapped Spearwork’s information technology and business performance solutions to enhance their entire IT and Sales infrastructure.

First, Spearworks went with SugarCRM the world’s leading provider of commercial open source customer relationship management (CRM) software, since going with Siebel, SAP or Oracle is out of the question because of their budget and Salesforce doesn’t offer the flexibility they needed so the choice was clear.

Second, due to SugarCRM’s open architecture Spearworks was able to do the necessary modifications to the core application so the task of migrating current data and adding needed functions was seamless.

Finally, the Spearwork’s award winning developers coded custom features to the CRM application enabling mobile access for ManMachines field technicians and Outlook synchronization for their sales team.

Results
Spearworks managed to deploy a fully integrated CRM solution in a very short period of time resulting in substantial benefits for the client. ManMachines recognized almost $870,000 thousand in savings with an annual upside of 120 percent in new sales unlike their old system which didn’t provide lead tracking and lacked realtime sales & pipeline statistics, which eventually led to lost and unattended leads. ManMachines converted costs from variable to fixed by avoiding expensive maintenance fees from other enterprise CRM providers and realized a significant cost savings, plus experienced a significant improvement in sales growth.
